INDIVIDUAL SUBSCRIBER
What is QualPass and what benefit will benefit me if
I subscribe?
Standing out from the crowd when applying for jobs is a
challenge we all face.
QualPass is a secure web-based database, designed to allow you
to create a profile, list your qualifications, link these to your
occupation and help you secure that job.
QualPass will demonstrate that you are committed to gaining and
maintaining qualifications and competency, as well as providing an
environmentally friendly solution, to proving qualifications and
competency to prospective employers.
It can be expensive photocopying your qualifications, references
and CV, everytime you apply for a new job. QualPass will
allow you to create an on-line profile, through which you can
provide an email link to a prospective employer, where they can
view the following:
Qualifications, including viewing
individual qualifications as secure watermarked
pdf documents
Occupations, linking in your qualifications
to your occupation(s) to provide
competency
References from previous employers
Your Curriculum Vitae
As part of your subscription you will create a QualPass card
which will list:
Your highest vocational and academic qualification
level(s)
Your main occupation(s)
Up to 10 qualifications, including renewal dates on the
reverse of the card.
The card is a unique and affordable alternative to carrying
around certificates, etc., and will match the information displayed
in your on-line QualPass profile, thereby allowing you to easily
prove competency to prospective employers.
How do I subscribe to QualPass?
Currently the only way of joining QualPass is to register
through this website, or call into Unit 3, Honeyborough Business
Park, Neyland, Pembrokeshire, SA73 1SE with your original
qualifications, licenses, passports, etc. and set up your profile
on-line and pay the membership fee by credit or debit card.
If you post your qualifications etc., to us after setting up
your profile on-line, we will match the qualifications you have
posted to us to your profile. We will then scan and upload
each qualification as a secure watermarked pdf document and approve
your profile.
Your QualPass card will be posted to you via Special Delivery,
together with the qualifications you sent to us.
We will be recruiting a network of Agents throughout the UK, to
provide a local QualPass service. Agent details will be
listed in our News Section of the website.
How secure is QualPass?
QualPass will be operating the appropriate level of SSL (Secure
Socket Layer) security, for a website holding personal details of
individuals; this hosting is provided by a 3rd-party and covered by
a service level agreement between QualPass and the 3rd-party.
On-line transactions are operated through Barclay's Bank plc,
and we are fully PCI DSS Merchant Compliant for secure on-line
transactions.
In relation to profile information, QualPass automatically
checks that no email address is entered twice linked to an
individual's username and password, therefore preventing multiple
QualPass profiles being created linked to one individuals email
account.
In addition, when entering an individual's National Insurance
number, QualPass automatically checks that the same NI number has
not been linked to a previously verified profile; where this occurs
the profile cannot be saved, or advanced to the stage of requesting
a QualPass card, payment, etc.
QualPass will expect that all individuals have appropriate
on-line security applications and firewalls to safeguard their
personal data whilst they are creating their profile on-line.
How do I view the QualPass Terms and Conditions for
the website and on-line purchases?
You will be shown the terms and conditions as a separate page to
the website prior to entering your debit or credit card details,
where you will be required to accept the terms and conditions
electronically, before proceeding to the on-line payment screen
provided through Barclays Bank plc.
A copy of the terms and conditions can be requested by email (info@qualpass.co.uk) where
they will be sent to you in a pdf format.
The terms and conditions will be shown each time you carry out
an on-line transaction - e.g. purchasing your first year or renewal
subscription, ordering a new or replacement card, etc.
How much will it cost me to subscribe to
QualPass?
For private subscribers the cost of QualPass is as follows:
Creating a profile, qualification upload and ordering a
QualPass Card = £60.00 plus
VAT
Uploading additional qualifications to an existing profile,
but not requesting a re-print of a QualPass Card
= £0.00
Uploading additional qualifications and ordering a re-print
of a QualPass Card = £25.00 plus
VAT
Ordering a replacement QualPass card which has been lost or
defaced = £25.00 plus VAT
Annual renewal of individual QualPass subscription =
£20.00 plus VAT
The on-line purchase screen will display the relevant costs
inclusive of VAT.
What qualifications can I display in my
profile?
You can add the following categories of qualifications:
Academic - such as GCSE's, A
Levels, Degrees, etc.
Vocational - such as NVQ's, professional
awards, certificates or diplomas, etc.
Certificates & Awards - such as first
aid at work, coded welding, IOSH managing safely
Passports - such as safety qualifications
such as CCNSG, CSCS, CPCS, etc.
Licenses - such as your driving license,
fork lift truck, etc.
You should only list qualifications for which you have a valid
certificate, passport, license, etc. issued by an awarding
body. QualPass reserve the right to delete any qualifications
listed by you on your profile which cannot be matched to valid
supporting evidence.
Do I have to send original certificates to you, or
can I send a photocopy?
QualPass will only upload and/or verify qualifications which are
supported by the original certificate, passport or license.
QualPass reserves the right to contact awarding bodies to verify
the validity of any qualifications, and where any doubt exists over
the validity of a qualification, pass this matter on to the
appropriate authorities, as well as suspend any private
subscriber's membership until the matter is resolved.
QualPass also reserves the right to pass on details of private
subscribers to the Police where there is reasonable evidence to
suggest qualifications have been fraudulently obtained.
Is it only qualifications I can add to my
profile?
No.
You can provide us with copies of the following documents, which
will be scanned and uploaded as a secure watermarked pdf document,
in the relevant section of your profile:
Employer Testimonials - where you may not
have formal qualifications for a particular task, work equipment,
etc., you can provide QualPass with an employer testimonial
covering your competency.
The testimonial must be on company headed paper and signed
by a competent person representing the employer - QualPass will
seek verification from employers, where testimonials are submitted
in lieu of formal qualifications, as to the validity of the
testimonial. Where the testimonial cannot be verified,
QualPass reserves the right to delete the testimonial from your
profile.
References - you can provide us with
copies of references from a previous employer which we can add to
your profile.
CV - you can provide us with your CV
which we can add to your profile
I subscribed to QualPass 6 months ago, and since
then I've just achieved a new qualification I would like added to
my online profile. How do I amend the qualifications listed
on my profile?
You can add a new qualification to your profile at any time by
logging in via your unique username and password, and adding the
new qualification to your existing list of qualifications.
You should then post the new qualification to us, by Special
Delivery, for scanning and uploading as a secure watermarked pdf
document.
This will be done free of charge, unless you request a new card
to be printed when you finish updating your profile. Once you have
made a change to your profile, this will remain locked until the
new qualification has been verified, scanned and uploaded as a
secure watermarked pdf document.
Your profile will then be verified by ourselves, and then fully
accessible to you; during this process you will still be able to
view your profile, share it with potential employers or link your
profile to an employer's QualPass site.
If I have updated my qualifications - either
following refresher training or after attending a new course - do I
need another card?
You are under no obligation to update your card. However
we would recommend you update your QualPass card when you have
attended any refresher training or new training which will help
prove your competency to prospective employers.
The cost of the new card is £25.00 plus
VAT.
I have date sensitive qualifications listed on my
profile. Will QualPass notify me when they are due to
expire?
Yes.
Where you've listed a qualification which has an expiry date
QualPass will do two things to notify you when the expiry date is
approaching:
a. List the qualification on your profile Dashboard as
nearing expiring.
b. Send you an email notifying you of the
qualification and its expiry date.
When I joined QualPass I did not have any date
sensitive qualifications and I purchased a Card. How frequently
should I update my Qualpass card?
We would recommend that you update your card when you have
attended any refresher training, or obtained any date sensitive
qualifications - e.g. first aid at work - as this will prove
continued professional development and competency.
Where you do not have any time sensitive qualifications listed
on your profile, we would recommend requesting a new QualPass card
ONLY when you've obtained a new qualification, as
again this will show continued professional development and
maintenance of competency.
My QualPass subscription is coming up for
renewal. What do I get for my annual registration
fee?
When you renew your QualPass subscription we will amend any
online information free of charge - with the exception of the
production of a new QualPass card. Therefore, you can add as
many qualifications to your renewed profile, as you may obtain,
within your new membership period.
Your continued membership will allow you to access any upgrades
to the site we develop, together with assisting in the maintenance
and updating of the site to ensure its optimum security, accuracy
and operation.
My qualifications have not changed, but my personal
details, or employer details have. Can I update these on my
profile?
Yes.
You can update these by logging in via your secure unique
username and password and editing your profile information free of
charge.
As with adding new qualifications when you make a change this
will lock your profile until QualPass verify the alterations; after
making your alterations on-line either email us, or write to notify
us of the changes, so we know what information to review and verify
to unlock your profile.
I want a prospective employer to view my
profile. Is this possible, and if yes, how do I do
this?
Yes.
There are three ways to show prospective employers your profile
information:
Your QualPass Card acts as a summary of your profile
displaying your 5 main qualifications, main
occupation(s) and your highest academic and/or
vocational level.
You can log in to your QualPass profile on any computer or
laptop, via the internet, anywhere in the world and
discuss your on-line profile with the employer in
their office.
You can provide an employer with read only access to your
QualPass profile; you need to log into your profile, and from the
Dashboard, select the link to email your profile to an employer -
you will need the employer's email address for this.
Once you have emailed your profile the prospective employer can
view your entire profile - as you view it from the Dashboard -
including opening the secure watermarked pdf copies of your
qualifications, references and CV to view to ensure you have the
necessary qualifications, experience, etc. This will be
available for up to 7 days, after which time the email link to your
profile will expire.
I have started work with a new employer who has a
QualPass Employer subscription. Can I link my profile to
theirs, and if so, what access will they have to my profile and
information?
Yes.
Your new employer will need to provide you with an alpha-numeric
code generated from their QualPass profile. Once you have
this code you will need to login to your profile, and enter the
code from the Dashboard option allowing you to link your profile to
an employer.
Once you have done this, your profile will show up on the
employer's employee listing, under their profile; your profile will
be read only, so they will not be able to make any changes to your
profile and you still retain control over your QualPass membership,
providing you maintain your subscription.
When you leave the employer they will click a link in their
profile to remove your profile.
I want to be included in any searches by QualPass
subscribing employers. Is this possible?
Yes.
When you are completing your profile you will see an option to
allow your profile to be included in any employer searches where
your qualifications will match their needs. To be included in
an employer search just click in the option box.
The employer will not be able to view your profile - as they
need the email link from your profile to do this - but you will
receive a notification that an employer has viewed your profile and
wants further information or to contact you.

number, QualPass automatically checks that the same NI number
hasn't been linked to a previously verified profile; where this
occurs the profile cannot be saved or advanced to the stage of

QualPass will expect that all Agents have appropriate network
security to safeguard data entered by them onto the QualPass

simply email us to let us know which profile is incorrect and we'll
return the profile to you for editing and re-submitting to QualPass
for verification and issuing of their QualPass card.
Will another Employer be able to view or access the
profiles created by our administrators?
No.
You will be issued with a unique identifier when you join
QualPass, so any profile set up by your administrators is allocated
against your employer number. The identifier is only known to
QualPass and your nominated person, and is not displayed on any
other element of the QualPass website hosting.
Any profile(s) created by your administrators, under the
username and password issued by QualPass, will be allocated
profiles against your QualPass agent number, and not be viewable by
any other Employer or Agent subscribing to QualPass.
How secure is QualPass?
QualPass will be operating the appropriate level of SSL security
for a website holding personal details of individuals; this hosting
is provided by a 3rd-party and covered by a service
level agreement between QualPass and them.
On-line transactions are operated through Barclay's and we are
fully PCI DSS Merchant Compliant for secure on-line
transactions.
In relation to profile information, QualPass automatically
checks that no email address is entered twice linked to an
individual's username and password, therefore preventing multiple
QualPass profiles being created linked to one individuals email
account.
In addition, when entering an individual's National Insurance
number, QualPass automatically checks that the same NI number
hasn't been linked to a previously verified profile; where this
occurs the profile cannot be saved or advanced to the stage of
requested a QualPass card, payment, etc.
QualPass will expect that all Employers have appropriate network
security to safeguard data entered by them onto the QualPass
website, or held in electronic format on any in-house/company wide
network/intranet system. This requirements, together with
arrangements for data protection as a whole will be reviewed during
an Employer's initial application, and on subsequent renewal of
their license.
Employees have date sensitive qualifications listed
on our profile. Will QualPass notify me when they are due to
expire?
Yes.
QualPass monitors the dates against time sensitive
qualifications and will trigger a notification 3 months prior to
the qualification expiry date.
Where you've listed a qualification which has an expiry date
QualPass will do two things to notify you when the expiry date is
approaching:
a. List the qualification on your profile Dashboard as nearing
expiring.
b. Send you an email notifying you of the qualification and its
expiry date; an email will also be sent to the individual employee
notifying them of the approaching expiry date.
I want a prospective Client to view my
profile. Is this possible, and if yes how do I do
this?
Yes.
You can log in to your QualPass profile on any computer or
laptop, via the internet, anywhere in the world and discuss your
on-line profile with the Client in their office.
You can provide the Client with read only copies of your
employee's profiles; you need to log into your profile, and from
the Dashboard, select the link to select the employee profiles to
be emailed to a Client - you will need the employer's email address
for this.
Once you've emailed the profile(s), the Client can view the
summarised profile, including opening the secure watermarked pdf
copies of qualifications, references and CV to view to ensure they
have the necessary qualifications, experience, etc. - for up to 7
days after which time the email link to your profile will
expire. Clients will be unable to alter any information, or
have direct access to your QualPass company profile from the
email.
We've recently recruited a new employee who has
their own QualPass subscription. Can their profile be linked
to our company profile, and if so what access will they have to my
profile and information?
Yes.
From your profile you can provide the employee with a unique
alpha-numeric code; they will then enter this code into the link
option on their own profile. This will then import their
profile against your employee listing saving you the need to create
their profile and validate the qualifications.
The employee profile will show up as a read only profile, but
will be included within your employee listing and therefore be
available to:
a. Email a summary of their profile to Clients
b. Be included within searches for qualifications linked to
employee profiles.
Should the employee leave your organisation you simply click on
the remove profile option against their name on your employee
listing; this can be done for any employee leaving your
organisation.
